Save Time With These Online Business Tools
One of the biggest challenges I see online entrepreneurs facing is tech overwhelm.
More specifically, they waste time trying to figure out the tech, get confused over which tools to use, and how it all works together.
Not only does this waste time (and derail us from our strategic business goals), but it also can lead to overspending.
I love to keep things as simple as possible to keep things clean as well as save me time and money. In fact, there are 5 key tools that I use in my business regularly, each with its own unique purpose.
Beyond this, I only use a few more tools, such as Quickbooks, Google Workspaces and domain hosting. All of this together costs me under $2,000 USD per year!
Here is an overview of my top online business tech tools, how I use them, why I love them, and how much they cost:
What I use it for: In addition to managing all of my tasks and projects in ClickUp, I also organize and manage my team’s tasks. It helps us stay on track and ensure that nothing is missed when we complete repeated tasks, as we can set up template checklists that essentially serve as a Standard Operating Procedure embedded right inside the platform.
I also use it to track processes and data, such as PR features, collaborations, leads/consult calls, and more!
Why I love it: ClickUp is so much more than just a task management tool. I love that I can use it as my hub, where I keep my goals, tasks, and links to other external documents and sites, all in one central place.
How much it costs: $9/month or $60/year
They have a free plan that will work great if you are a solopreneur and don’t need to add team members.
What I use it for: This is the tool I use for client management. It houses my contracts, invoices, proposals, questionnaires, and a call bookings calendar.
Why I love it: Not only does Dubsado make it easy to keep all this information in one place, but I keep various templates in it AND implement automated workflows, which saves me TONS of time when it comes to client onboarding as well as recurring payments.
How much it costs: $20/month or $200/year

What I use it for: My entire website is built in Kartra and I use it for all my funnels! I also create and share funnel templates through it, host my mini courses, and connect with my email subscribers with a regular newsletter.
Why I love it: The answer to this can get long but, in a nutshell, Kartra is amazing because it has SO much functionality AND it actually is advanced in many of its features. Oftentimes, a tool that claims to be an all-in-one truly only thrives in one or two of its core features. With Kartra, you not only have a robust page builder, but also advanced email marketing and automations, reporting and analytics, course/membership hosting, and so much more!
How much it costs: Starts at $99/month or $948/year

What I use it for: In short, I use Loom to get ideas out of my head in a quick and visual way. This includes recording training videos for my team, setting up Standard Operating Procedures (SOPs), and providing feedback. I also record training tutorials for our clients, which they can share with their own teams.
Why I love it: Loom is super easy to use (there’s a Chrome Extension as well as a desktop app) and helps me keep most videos in one place. I love being able to easily share videos with others, who are then able to comment on them and save them for future reference.
How much it costs: $10/month or $96/year
They also have a free plan that you can get started with! You’re limited on the length of the video as well as the number of videos you can keep in the account.
What I use it for: We use Canva for social media graphics and video creation, designing various documents, and misc designs such as for web pages.
Why I love it: I love that Canva keeps getting more and more sophisticated over time! This means that it keeps saving me MORE time, as features are added that make things easier to do or allow us to more easily do more advanced designing (eg. things that previously we had to use Photoshop for).
How much it costs: $12.95/month or $119/year
You can also get started for free and upgrade when you find that the free features aren’t enough for you anymore.

If you’re looking for new tools to use, I encourage you to outline your processes and required features first, then look for a tool that matches that as closely as possible.
It’s also great to do audits on a regular basis. I’ve cut out hundreds of dollars of subscriptions annually doing audits in the past to keep things lean (financially as well as practically)! List out all your tools and consider how important they are to your business and reaching your goals.
